The Archival Assistant is responsible for the processing and maintaining of archival itemsand collections. This position is governed by state and federal laws and agency policy.
Typical Functions
Receives archival items and determines physical condition and historical significance. Categorizes items and arranges into chronological, alphabetical, or numerical order. Places items in folders or boxes and stores on shelves by classification. Prepares and maintains inventory listing on each item processed. Researches various sources to obtain needed information about items or collections, suchas the identity of person or persons contained in collection. Writes bibliographic sketches to include in collection index. Assists patrons by pulling materials, giving tours, and providing reference service. Responds to specific inquires or requests by conducting searches, making referrals, and/orcompiling needed materials. Performs other duties as assigned.

Knowledge, Abilities, and Skills
Knowledge of the principles and practices of collection, compilation, and analysis of archivalmaterials. Ability to process and categorize archival materials. Ability to prepare bibliographic sketches from research on archival materials. Ability to compile and disseminate information on archival materials and available resources.
Minimum Education and/or Experience
The formal education equivalent of a high school diploma; plus four years of specializedtraining and/or experience in library science, historical archival or a related field. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management. OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.

This is a full time, 2-year grant funded position located within the Arkansas State Archives, a division of the Department of Arkansas Heritage.

ARCHIVAL ASSISTANT (Project Assistant)
Temporary 2-year position
Salary: $13.9644 hr.

I. General Overview: The Arkansas State Archives (ASA) was created by the Arkansas General Assembly in 1905 to preserve official state records and historical materials pertaining to Arkansas and its people. The ASA holds the largest publicly accessible collection of print, manuscript, media, and digital material relating to Arkansas and its people. Holdings include more than 36,000 books and journals, 60,000 reels of microfilm, 5,000 maps, 20,000 cubic feet of state records and manuscript collections, 500,000 images, and almost four terabytes of electronic records.

The Project Assistant for a two-year grant funded newspaper digitization project. Position will report to the Archival Manager for Imaging and Preservation. Responsibilities include researching history of Arkansas newspapers, performing quality control assessments of microfilm, communicating with grant partner, preparing reports and keeping statistics on grant production, and other duties as assigned.

II. Scope of Work:

 Collect data on Arkansas newspapers, 1819-1922, including historic and bibliographic information.
 Perform physical assessment of positive microfilm to check for damage in preparation for digitization.
 Prepare and submit written reports on Arkansas newspaper history and on grant progress to funding agency and other interested parties.
 Maintain grant statistics and grant records.
 Perform related responsibilities as required or assigned.

III. Required Qualifications:

 High School Diploma or equivalent
 Four years specialized training and/or experience in library science, historical archival or related field.
 Strong writing and editing skills
 Basic computer skills
 Familiarity with scanning equipment
 Strong research skills
 Interest in Arkansas history and culture
 Experience with transcription of handwritten documents or letters

IV. Preferred Qualifications:
 Bachelor’s degree in history, library science, or related field.
 Experience in a library setting.

V. Special Requirements: Must pass a pre-employment criminal background check. Position is also subject to drug screening.
