Summary
Maintains the inventory of materials and equipment classified as fixed assets, as well as low value equipment for the Arkansas Secretary of States Office. Performs annual physical inventory. Receives, tags and disperses incoming inventory items.
Typical Functions
Maintains an accurate assessment of the inventory and county equipment deployment through tracking & coordinates with all departments, including IT department, using the Fas.Gov Inventory Software System.
Performs the annual physical inventory of SOS inventory as well as the coordination of the County Voting Equipment inventory.
Coordinates the tracking and disposal of assets through Marketing & Redistribution (M & R)
Coordinates with accounting department in the disposal of surplus goods, trade-in equipment as well as all movement of inventory.
Receives, tags, notifies all parties of receipt of fixed asset materials and low value inventory. materials placed in Fas.Gov accounting and inventory portals.
Assist with year-end reconciliation of inventory. (Disposals, acquisitions of low-value inventory and fixed assets)
Maintains monthly vehicle mileage/log sheets, insurance paperwork, titles for SOS Fleet Vehicles.
Coordinates & maintains contract data for SOS uploads to state transparency website.
Coordinates flag distribution for SOS.
Cross train for mailroom, travel arrangements, print bids, office supply replenishment and payables.
Special Job Dimensions
Knowledge, Abilities, and Skills
Knowledge of and experience in computer programs such as Microsoft Word, Excel, PowerPoint and databases; knowledge of inventory methods; internet research. Knowledge of Fas.Gov software is a plus. In addition, knowledge of: US Postal Service rules, regulations, rates and documentation mandatory for processing US mail; operation of standard and computerized mail processing equipment would be helpful.
Minimum Education and/or Experience
The formal education equivalent of a high school diploma; plus two years of office experience.

Knowledge of and experience in computer programs such as Microsoft Word, Excel, PowerPoint and databases; knowledge of inventory methods; internet research. A combination of education and experience may be substituted.
Preferred Qualifications
Two year associates degree in business or office operations preferred.

Valid drivers license.
